COVID-19 Guidance

Thinking of joining us for in-person meetings but want to know more about our COVID protocols and cancellation policy? See below for further information relating to our 2022 conferences.

Vaccines

Double vaccinations are required in order to attend our in-person meetings, to keep yourself and others as safe as possible. This is required for both delegates and accompanying adults*.

Face Masks

Face masks will be encouraged in the conference room. In all other public areas of the hotel, we ask you to respect and follow hotel guidance which will be clearly outlined upon check-in.

Face masks will not be provided, so please bring your own. This is to ensure comfort and reduce waste. Masks have become the ‘norm’ for us all, so we assume you will have your own mask that you prefer to use.

Social Distancing

Although social distancing will not be required during the conference, feel free to keep your distance if you feel more comfortable doing so.

We ask that you keep your distance from the Fusion team as we will be managing several consecutive conference groups.

Meals

There will be several options for dining throughout the conference. Group meals will be held outside, weather permitting.

Meals at Leisure: This is where delegates have free choice to dine at any of the hotel restaurants which are operational at that time. You also have the option to order room service if you do not wish to dine with others in a public space.

Gala Dinner: All delegates are invited to join us at the conference gala dinner (see the conference programme for the date and time of your gala) which we hope to hold outside, weather permitting. However, this is an entirely optional event. If you would prefer not to join, you can simply make alternative arrangements at one of the hotel restaurants or opt for room service.

COVID Testing Services

If you require a negative COVID test prior to your return journey, please ensure you plan ahead, especially for PCR tests.

If you require a negative Antigen or PCR test prior to your return journey, the hotel has an in-house testing facility. Upon check-in, the front desk team will direct you to concierge where you can make an appointment with the in-house lab for your antigen or PCR test. They will ensure the date and time of your test aligns with your airline requirements.

- Antigen tests are complimentary.
- PCR tests are $110.00 plus taxes, per person, subject to change.

If your COVID test requires payment, payment will be required at the time the test is taken. Both cash (US dollars or Mexican Pesos) and card are accepted.

Hotel Protocols

In addition to the Fusion guidance in the conference room, the hotel will also have their own policies and guidance in all public spaces to keep everyone safe. Please ensure you follow and respect hotel guidance throughout the hotel.

The Fiesta Americana Condesa Cancun have created a ‘Travel with Confidence’ programme, to ensure a safe environment for all guests. For further information regarding this programme, click here. During check-in, you will have the option to purchase a ‘Travel with Confidence Protection Program Insurance’. This insurance costs $4 per room, per night and covers any accident or illness you may suffer during your stay, including COVID-19. If you test positive for COVID-19 and need to extend your stay due to isolation, the first give days of your extension are complimentary and then further nights are charged at $10 USD + taxes per night. The insurance covers you for a maximum of 14 days. 

Onsite Protocols

One to two weeks prior to your conference, you will receive further information via email relating to onsite protocols and guidance. You will be asked to sign a declaration upon arrival at the conference to confirm you have been double vaccinated, you do not have any COVID-19 symptoms and that you will respect and follow both Fusion and hotel guidance to keep yourself and others safe.

Cancellation by Fusion

If a conference is cancelled for any reason by Fusion, you will be entitled to a full refund. If we postpone the meeting or switch to a virtual format, you will have the option to transfer your registration or request a full refund. 

Cancellation by Delegate

If you need to cancel your attendance for any reason, our standard cancellation policy applies in this case. See 5.3 of our Terms and Conditions for more information. 

We highly recommend you purchase comprehensive travel insurance when registering to protect yourself as an individual should you be unable to travel for any reason (including if you contract COVID-19 and are unable to travel). Unfortunately, Fusion cannot issue refunds for individual cases where travel is not possible. In this case, your travel insurance should protect you from any losses.

Travel Advice

Please ensure you check your government travel policies along with your institute travel policies prior to registering to ensure no restrictions are in place for the conference location.

*If exempt based on medical or religious grounds, please contact Fusion so we can review. If Fusion management determine the exemption to be appropriate, proof of a negative COVID-19 test will be required prior to and during the conference. If a child will be accompanying you to the conference as a guest and is aged 12-17, a single vaccine is required. For children between the ages of 2-11, proof of a negative COVID-19 test will be required prior to and during the conference.
